Only 19% of human resources processes in European companies are effectively improved with the help of generative artificial intelligence, despite the strong interest in the technology, according to the HR Monitor report by McKinsey. Against this backdrop, Romanian HR platform Papervee is launching version 3.0, introducing autonomous AI agents for the more than 500 companies in its portfolio. The new technology can verify timesheets, detect anomalies, apply internal leave approval policies, and answer employees’ questions directly within the platform.
“Although many AI solutions promise greater efficiency, the real differentiator lies in how you choose to use them. A standalone AI chatbot disconnected from the organization’s context can provide occasional value, but true efficiency emerges when AI agents take over manual HR tasks. Instead of switching between platforms and relying on generic inputs, we developed Papervee 3.0, where artificial intelligence is embedded directly into the HR ecosystem. We have also made it possible to connect Papervee to the AI provider already used by a company. This allows managers to automate any workflow available in Papervee using artificial intelligence,” explains Alexandru Măereanu, CTO of Papervee and one of its three founders.
Although AI tools are already widely used in the day-to-day work of HR teams, many of them operate separately from organizations’ internal systems. They can generate text or provide responses, but they do not have direct access to the data, policies, and workflows required to execute complete HR processes.
Papervee 3.0 integrates artificial intelligence into the platform where employee records, timesheets, leave requests, and internal policies are already managed. As a result, AI no longer functions merely as an external assistant but can also take over and execute administrative tasks within the limits defined by each organization.
AI Agents Verify Timesheets and Apply Leave Policies
In its initial phase, Papervee 3.0 includes AI agents dedicated to time tracking, leave management, and employee communication. The agents review timesheets daily, identify potential anomalies, and flag issues before payroll processing. For leave requests, the system analyzes submissions and can automatically apply the company’s predefined approval rules.
The conversational AI agent answers employees’ questions in natural language based on information available within the organization. It can also analyze data and generate easy-to-understand charts for HR teams and management. All actions performed by the AI agents are fully traceable and can be monitored or reversed. They operate under the same access rights and permission levels as other users of the platform.
According to Papervee’s initial internal estimates, the Papervee AI module can identify approximately 98% of timesheet anomalies before payroll processing, improve the efficiency of automated HR workflows by up to 55%, and reduce the time spent handling recurring employee requests and questions by as much as 70%.

Artificial Intelligence Enters Administrative Business Processes
The use of AI for administrative and management processes is already a growing trend across Europe. According to Eurostat, in 2025, 31.05% of companies using AI technologies applied them to organize administrative or management processes. Among large enterprises, that figure reached 43.38%.
These figures show that AI is increasingly being used not only for content generation or information analysis but also to automate repetitive internal processes. Time tracking, leave administration, and document verification are among the activities where companies can reduce manual work and minimize the risk of human error. Papervee 3.0 adds a layer of autonomous intelligence to the digitalized processes already available on the platform. Companies can either use the AI agents included in the new version or connect the platform to the AI provider they already use.
Human Oversight and Traceability for AI Decisions
Because HR processes involve sensitive personal data and can directly affect employees, Papervee AI includes mechanisms for human oversight, secure access, traceability, and compliance with internal company policies. Every action performed by the AI agents is visible, auditable, and can be modified or revoked by users. The agents operate only within the permissions granted and according to the company’s established rules.
The new version was developed with the requirements of the EU AI Act and GDPR in mind, including principles related to human oversight, data protection, and the prevention of discrimination. Customer data is hosted on servers located in Frankfurt, Germany. This enables companies to automate HR processes without losing control over decision-making, internal policies, or data confidentiality.
