Available as a Software as a Service (SaaS) solution, it utilizes Artificial Intelligence (AI) to process financial documents, eliminating a significant portion of the administrative effort associated with reimbursing employee expenses.<\/p>\n\n\n\n<p>Through the app, any employee can use their mobile phone to take a photo of a document\u2014such as a receipt or an invoice\u2014in any language or currency. The information is then automatically interpreted via Artificial Intelligence, sent through an approval workflow, and subsequently transferred to the ERP system as a draft accounting document.<\/p>\n\n\n\n<p>According to the company, using XpenseOne <strong>reduces the total effort required to settle an expense by up to 70%<\/strong>. It also significantly cuts down on data entry errors and exceptional scenarios caused by incomplete documents, unapproved expenses, or missing justifications.<\/p>\n\n\n\n<p>The solution is developed entirely in the cloud, which simplifies implementation, usage, and initial adoption costs. XpenseOne is available for both iOS and Android and was natively designed to integrate with ERP, accounting, and HR solutions, regardless of the vendor.<\/p>\n\n\n\n<p>&#8220;<em>We developed XpenseOne starting from a current reality: companies with employees who travel frequently\u2014sales agents, service teams, staff working on construction sites or at client locations\u2014face a real challenge regarding expense reports. It is a process that consumes time and attention for both employees and financial departments. We are talking about a SaaS business application, and our goal is to reach several thousand users in the coming years. The solution can function independently, without ERP integration, or connected to existing platforms to automate financial and human resource processes.<\/p>\n\n\n\n<p>The solution allows for the management of cash advances, expenses, and reimbursements, as well as the configuration of approval and document validation workflows. It also facilitates the electronic submission and archiving of supporting documents, and automatically allocates expenses to cost centers, projects, or other financial categories.<\/p>\n\n\n\n<p>In practice, field employees can submit supporting documents in real time immediately after receiving a receipt or invoice, simply by taking a photo with their mobile phone. The approval and processing workflow is triggered automatically, giving administrative staff direct access to validated documents, which they can quickly transfer into accounting.
